A receiving checklist for cleaner purchase orders

Verify quantities, damage, costs, and storage destinations before received goods become available inventory.

Good receiving protects both inventory accuracy and the purchasing record. Start with the purchase order, not only the packing slip, so the team can compare what arrived with what was actually approved.

Count each item and separate accepted, damaged, missing, and unexpected goods. Photograph material damage when useful, and note discrepancies while the shipment is still available for inspection.

Confirm the item identity, unit of measure, lot or serial details when applicable, and the destination location. A correct quantity assigned to the wrong item or shelf still creates an inventory problem.

Record partial receipts without closing the remaining order. Mark outstanding quantities as awaiting, backordered, or missing so purchasing can follow up with the vendor using clear information.

Only make accepted stock available after the receipt is saved and the goods have a storage destination. This final step keeps physical stock, purchase-order status, and available quantity aligned.
